Unified Archiving and Correspondence Project

    The Tarresh project for archiving and correspondence management is one of the key strategic projects for the government of Ras Al Khaimah. It features a centralized system for managing government correspondence in an efficient, effective, and secure way. It is currently implemented at local government departments in Ras Al Khaimah in addition to certain federal entities. The project enables all the users to exchange official correspondence through the system instantly in addition to assigning internal tasks and tracking the activities related to correspondence.

    The system empowers government departments to improve customer service while reducing costs and increasing the efficiency and effectiveness of processes by providing instant access to information, thus improving the customer experience as well.

    The system aims to increase adoption to reduce costs and make it easier to add and retrieve correspondence related to a specific topic. The recent updates to the system included new features to enable tracking of undocumented activities on correspondence and ensure proper task follow up.

    The system allows the creation of correspondence based on previously defined templates in draft mode. Drafts are then approved within the system and forwarded to the concerned departments directly which saves time and effort on correspondence. The project provides a unified platform to automate all government correspondence in line with the government’s directives to become paperless and reduce the carbon footprint in the Emirate of Ras Al Khaimah, and with the objective of delivering services more rapidly and with better quality, thus increasing customer satisfaction and improving quality of life.

    The system also archives correspondence for easy search at any time using indexing data and retrieval of original correspondence from storage. Statistical reports on correspondence are available within the system to enable decision makers to track the actual usage of the system and make the necessary recommendations to make it easier to use.

    RAK EGA plans to link the correspondence system with other government-level systems to facilitate work even further on a higher level and leverage Tarresh as a unified platform for government correspondence.

    The system leverages a simple web-based user interface that is compatible with all browsers and all screen sizes including tablets, which makes the system easy to use.

    The platform also includes a document management system that enables government departments to achieve paperless working environments in line with the UAE’s vision to reduce the use of paper.
